Facilities Manager

The Facilities Manager manages the Maintenance, Cleaning, Security/Fire, Post and Supplies for the company and its associated buildings, working with preferred suppliers to provide essential services and maintenance.

 

Responsibilities :

  • Maintain the central repository of the official building and room inventory & the associated floor plans.  These databases are updated periodically, noting all changes which affect the space utilization of the WH's facilities.

  • Provide an effective front desk service, liaising with heads of projects/departments and staff to identify their facilities related requirements and propose and manage cost-effective solutions

  • Monitor relevant services and suppliers, ensuring that the required standards are met

  • Manage key and lock changes to offices, including ordering of supplies

  • Review furniture needs, order and manage all furniture requests for the building.

  • Schedule preventative maintenance, respond to urgent maintenance calls and participate in the creation of emergency preparedness plans.

  • Follow through any changes to the disaster recovery plan

  • Keep the office supply, toilets and kitchen areas stocked.

  • Manage and maintain stationary supplies, whilst overseeing the stationary contractors

  • Record and monitor all costs and expenses for all Facilities budgets (Administration, Cleaning, Security, Engineering and Building).

  • Process facility invoices, and liaising closely with the Financial Controller


  • More specifically, the role includes 3 areas of focus:
     
    Maintenance & Repairs
     

  • Manage buildings and equipment to ensure they are suitable for daily work by maintaining, making repairs and preparing for emergencies. Liaise with appropriate contractors in house and outsourced to that effect.

  • Serve as the first point of contact for every maintenance and repair associated inquiry by employees and management.

  • Create maintenance schedules and liaise with building cleaning and maintenance contractors. Plays active role in contractor sourcing, benchmarking and contract negotiations  

  • Ensure adherence to annual budget for maintenance.

  • Serve as an emergency response coordinator by testing building security systems and preparing for emergency situations (creating an action plan for fire evacuations and disaster response etc).

  • Planning for Future Needs
     

  • Be involved in planning for the future building space needs and ensuring adequate supply levels.

  • Communicate with supply vendors and update executives on all the changes and needs.

  • Conduct an overview of the specific needs of the space, (new furniture, office renovations and office supplies) and plan necessary changes that need to be done subject to approval by management.

  • Place orders, receive supplies and distribute them to the relevant parties.

  • Maintain kitchen supplies and equipment and reorder them as necessary.

  • Restock paper and copy machine products.

  • Relieve/assist the reception desk as necessary (e.g. in times of site visits) and pick up, sort and distribute incoming mail.

  • Health & Safety
     

  • Manage waste disposal (large, hazardous items, items which require special disposal treatment like batteries, lightbulbs, confidential items etc).

  • Manage recycling programs

  • Coordinate environmental health and safety programs.

 

Requirements :

  • Proven previous work experience in similar role will be consider as a plus

  • Familiarity with Microsoft Office Suite

  • Very good level of English (written and oral communication), French language will be considered as a plus

  • Solid written and verbal communication skills

  • Ability to be resourceful and proactive when issues arise

  • Excellent organizational skills

  • Multitasking and time-management skills, with the ability to prioritize tasks

  •
